BUILD - Is Your Client Experience Intentional... or Just Happening?

What happens after someone reaches out to you?
Maybe they filled out the contact form on your website. Maybe they sent you a message about one of your listings. Maybe they were referred by a past client and booked a consultation.
At that moment, they're no longer just a lead. They're someone looking for guidance, reassurance, and a clear next step.
So what happens next?
If you're like many Realtors, the answer probably depends on the day. Sometimes you send a thoughtful email. Sometimes you pick up the phone. Sometimes you promise yourself you'll follow up after your next appointment. We've been there too.
One of the biggest lessons we've learned is that an exceptional client experience isn't created by working harder. It's created by building simple systems that support every relationship from the very beginning.
Let's look at three moments where a little more intention can make a big difference.
Question #1: What Happens After the First Inquiry?
Think about the families who reach out because they're considering a move.
Before they ask about homes, they're usually asking themselves questions like:
- Is now the right time?
- Can we afford to make this move?
- What does the process actually look like?
Instead of answering those questions one conversation at a time, imagine sending a welcome email after someone books a consultation or contacts you. It introduces your process, explains what to expect, and gives them confidence before you even meet.
Your Homework
· Look at the last five buyer inquiries you've received.
· Did every person receive the same clear introduction to your process?
· If not, write one welcome email that you can use as the foundation for every new inquiry. You can set it up in your CRM flow or save it as a template in your favourite folder.
Question #2: What Happens After a Showing?
Every home your client walks through helps them better understand what they're looking for.
But if there's no process after the showing, those details can quickly blur together.
A simple follow-up asking what they loved, what didn't work, and what they're still looking for creates better conversations at your next showing. It also helps you refine the search instead of starting over each time.
Your Homework
· Create a simple showing recap with three questions you can send after every tour.
· It doesn't need to be complicated. It just needs to help your client organize their thoughts while giving you valuable insight.
Question #3: What Happens After Possession?
Possession day is a milestone, but it isn't the end of your relationship.
Your client is settling into a new home, learning a new neighbourhood, and adjusting to a new routine.
A thoughtful follow-up a few days later can make all the difference. Share a few trusted local recommendations, check in to see how the move went, and remind them you're still available if they need anything.
Your Homework
· Take 20 minutes this week to create one post-possession email template. A reminder of the things they should do as a new homeowner, a thoughtful thank you, a reminder you are there to support. Save this template in your favourite folder, or add it to your CRM flow as well.
